When a game grows in popularity, managing the back-office with pen and paper is no longer practical. Manually handling player data, health reports, and transfers becomes inefficient and prone to errors. Tracking contracts, performance stats, and schedules requires a digital solution to stay organized and maintain efficiency. 

A robust Player Management System is a way to optimize operations, allowing teams to focus on strategy and performance instead of administrative tasks.

Challenge

Since water polo is one of the main sports in Montenegro, more and more clubs started forming and more people started playing, so to keep everything in check and fully organized, the old ways won’t be enough. 

Multiple Excel sheets and paper-based documentation started getting out of hand at the Montenegrin Water Polo and Swimming Federation and were taking too much of the time for the administration team. This, along with game preparations, keeping track of the player database, health reports and transfers, was too exhausting.

Solution

Our team made a Player Management System that consists of a granular access module, player/coach/admin database, PDF ready-to-print export for game-ready licences and certification. We built it with a comprehensive filtering system and different interfaces, depending on the type of user and the access level. 2FA was integrated in the registration form, as well as recurring password changes, for added security of the system and players data. 

Impact 

This system eliminated the pre-game mistakes in team selection and registration, helped with player tracking and ultimately saved a massive amount of time that was spent in Excel sheets and repairing errors born from “lost in translation”.
